Product Data Stewardship
Definition
The operational discipline of maintaining product data to the standards that governance has set. Stewards apply agreed rules, create and maintain records, resolve exceptions and conflicts between sources, monitor quality against defined measures, and escalate issues that require a governance decision.

Stewardship is where governance meets daily work. A steward is typically embedded in the function that produces the data rather than in a central technology team, because judgement about whether a composition value is plausible belongs with the people who understand the product. Stewardship is a role rather than a job title; in many organisations it is a defined portion of an existing role.
Typical responsibilities include onboarding new products to the agreed standard, reviewing values that fail validation, arbitrating between systems that disagree, chasing missing supplier declarations, maintaining reference lists and classifications, and reporting quality trends to the governance forum.
The distinction from governance matters. Governance decides who is authoritative for recycled content and what approval a change requires. Stewardship makes sure the value is actually present, plausible, current and approved for the products being published this month. Neither works without the other.
Why It Matters
Passport obligations are continuous rather than one-off. Products change specification, suppliers change, and published information must remain accurate for as long as the obligation lasts. Without named stewards, quality achieved during a launch project decays quietly until a market surveillance enquiry or a customer complaint reveals it.
Common Misconceptions
Entry is a small part of it. The substantive work is judgement: deciding which conflicting value is correct, whether evidence is adequate, and when to escalate.
Central teams can coordinate and measure, but the domain knowledge needed to judge specification, composition and conformity data sits in the originating functions.
